Lead/ Sr. Associate Operations

Position Description:

Experienced Administration & Operations professional with strong expertise in vendor management, procurement, budgeting, travel coordination, facilities, and client support within IT services. Proven ability to manage end-to-end office operations, drive process improvements, automate reporting in Excel, and deliver accurate operational and financial reports. Strong communicator (Telugu, Hindi, English) with a proactive, service-oriented mindset, capable of leading teams, leveraging AI tools, and ensuring seamless administrative efficiency.

Key Responsibilities:

  • Act as the primary administrative liaison for executives, employees, clients, and vendors.
  • Oversee full-cycle vendor management, including requisition, comparison, negotiation, documentation, PO processing, procurement, and tracking.
  • Plan, control, and track office budgets, including kitty and expense management.
  • Manage invoice processing and payments, maintain records, and ensure compliance with company policies.
  • Supervise inventory of office supplies, pantry, stationery, and medicines; monitor usage and coordinate replenishments as needed.
  • Administer housekeeping, facilities, and office security operations, ensuring a safe and productive environment.
  • Coordinate office activities and resource management (recycling, renovations, office events).
  • Arrange domestic and international travel for employees and guests, including travel bookings, accommodation, and expense reconciliation.
  • Lead execution of employee engagement programs and logistics for company-wide activities.
  • Ensure seamless client support and logistics operations; act as escalation point for issues.
  • Prepare operational and financial reports using MS Excel; maintain basic and intermediate reporting and data analysis capabilities.
  • Drive process improvements across administration, introducing automation or technology solutions when practical.
  • Train, mentor, and supervise junior admin staff; promote a culture of teamwork, ownership, and accountability.
  • Proven track record in vendor management, travel, inventory, procurement, and expense management within IT services.

Required Skills:

  • Excellent communication skills, fluency in Telugu, Hindi, and English.
  • High energy, positive attitude; reliable team player with a service mindset.
  • Adaptable and willing to work flexible hours, including weekends or holidays when required.
  • Strong organizational, multi-tasking, and problem-solving aptitude.
  • Ability to work independently and collaboratively, taking ownership of outcomes.
  • Intermediate in working on excel and Power point
  • Should know how to automate reports in excel.
  • Beginner to intermediate experience of using AI tools
  • Any project worked on /created using AI would be of advantage
